Booking on the Website: Clinics, Salons and Studios in the UAE

Clinic corridor — the kind of UAE practice that needs a calm booking path, not a plugin pile

A lot of Dubai clinics still run the diary in a paper book and a WhatsApp flood. That works until Thursday night, two therapists, and a no-show that cost you a room. Online booking is not a trend. It is a decision about who owns the calendar when you are with a client.

I get asked for “a booking system” as if it were a button. It is a product: staff, rooms, deposits, reminders, and a website that does not make people create an account to book a haircut.

When WhatsApp is still the right product

If you are one dentist and a nurse, and you answer within an hour, WhatsApp is faster to launch and closer to how patients already talk. Put the button on every page, pre-fill “I’d like a slot for …”, and keep a simple services list so they know what to ask for. I wrote the mechanics in WhatsApp on the site.

WhatsApp fails when three people book the same 6pm, or when the owner is in surgery and 40 unread chats pile up. That is when a calendar earns its keep.

What a booking flow has to make obvious

  • Which location (if you have two — see multi-location pages)
  • Which service, in minutes, not in clinic codes
  • Which practitioner, or “first available”
  • What it costs, and whether a deposit is due now
  • What happens if they cancel on Friday afternoon

If any of those appear after they have entered a phone number, you will get angry messages. Put the rules first. UAE customers accept deposits when they are not a surprise.

Plugin, SaaS, or a small web app

WordPress plugin: fine for a one-room salon with a simple list of services. Cheap, and fragile if you install five companions “for SMS.”

Dedicated SaaS (Fresha, Setmore, clinic systems): often the right call. I embed it so it looks like your site, same fonts, same button colour. You keep their reminders and they keep the compliance headache for SMS.

Custom web app: when you have rooms, equipment, insurance pre-auth, or a flow no SaaS will bend to. This is not a weekend plugin. It is a product with logins for staff.

I push back when someone wants custom because a YouTube video said plugins are slow. Sometimes the plugin is fine. Sometimes the clinic’s real problem is no-show policy, not software.

Reminders, no-shows and PDPL

SMS and WhatsApp reminders work in the UAE. Do not send them from a staff member’s personal phone. Do not include diagnosis text in a reminder. “See you tomorrow at 4:10, JLT clinic” is enough. For the data side, read PDPL and forms.

Deposits cut no-shows more than a red warning paragraph. Take them through a proper gateway, show VAT, and receipt the client. If you cannot refund cleanly, do not take the money.

A booking iframe on an empty page still needs:

  • Photos of the actual rooms (see real photos vs stock)
  • Practitioners with names, not “Team Member 3”
  • Parking and late-arrival rules
  • A human number for “the widget failed on my phone”

I test booking on a mid-range Android on du, not only on the owner’s iPhone on office Wi‑Fi. If the calendar is an inch wide or the next-month arrow sits under a sticky WhatsApp disc, we fix the layout before we talk marketing.

For a simple chair, maybe. For multi-staff clinics, a dedicated tool or a small app usually breaks less than a plugin stack.

Can I take deposits on the site?

Yes — card or Apple Pay, VAT visible, cancellation rules in the same flow.
